When is the Annual Meeting?
The BOA Annual Congress 2025 is taking place on 16th - 19th September 2025 at ACC Liverpool. Exhibit dates are Tuesday 16th - Thursday 18th September 2025.
What are the build times?
Sunday 14th September - 07:00-22:00, last entry 19:00
Monday 15th September - 07:00-21:00, last entry 19:00

What are the exhibit hours?
Tuesday 15th September - 08:45-19:30 (Drinks reception 18.20 - 19.30)
Wednesday 16th September - 07:30-18:00
Thursday 18th September - 07:30-16:45
Can I cancel my stand?
All cancellations requests must be sent via email to [email protected]. Requests to cancel or downsize may incur a cancellation fee based on the date the request has been received by BOA.
b) Cancellation 2nd May – 3rd July 2025, exhibitor is liable for 75% of the cost of the stand
c) Cancellation after 3rd July 2025, exhibitor is liable for 100% of the cost of the stand
Can I get early/late access for build?
There is no early access available at this venue and working outside the hours listed above will be subject to a late working charge of £200.00 per hour. This must be pre-arranged with the BOA Team prior to the event. For further details, please contact BOA Exhibitions, [email protected]
What are the breakdown times?
Thursday 18th September - 16:45 - 23:00
If you or any of your Exhibitors or any individual or third party involved with or connected to you start breaking down the exhibition stand including bringing in storage boxes, equipment or tools before the exhibition has been officially closed and all delegates have vacated the exhibition space we may charge you a post event penalty charge of one thousand pounds (£1,000) per 30 minutes (or part thereof).
Immediately after the show is the most common time for loss and theft to occur. We highly recommend that valuables, particularly of a portable nature are not left unattended at any time on your stand at any point during the show e.g., laptops, mobile phones, handbags.
How do I register for an exhibitor pass and how many can I have?
The quantity of exhibitor badges issued per stand; is dependent on what package you have confirmed and the size (m2).
• Diamond – 16 x Exhibitor Passes per day
• Platinum - 15 x Exhibitor Passes per day
• Gold - 10 x Exhibitor Passes per day
• Silver - 5 x Exhibitor Passes per day
• Bronze - 3 x Exhibitor Passes per day
Please create an exhibitor pass for every person exhibiting with your company. To register your exhibitor pass, please click here and register online.
If you wish to purchase a plenary access pass or additional exhibitor tickets, you can do so online.
Registration confirmation emails will be sent to all attendees 48 hours prior to the event. Badges will be printed and will be available for collection from the Exhibition Registration Desk on arrival.
Is there storage onsite?
No storage is available within the hall for exhibitors. All items must be stored within your stand or with Onsite Exhibitions based onsite, you can pre-order storage with them by completing the order form here.
What is provided with my stand?
Shell scheme stands are provided with stand walls, a name board, 3 x spotlights & 1 x 500W socket. Any furniture, AV, graphics etc need to be pre-ordered, please see 'Shell Scheme' section for further details.
Space only stands: No flooring, furniture, electrics, or other services are provided with Space Only stand bookings. Only the space is provided.
Many stand services are available and are listed within the exhibitor manual.
Can exhibitors view their stand during build?
Any exhibitors wishing to come and see their stand during build may do so by pre-arrangement. Admission to the exhibition hall is strictly by wristband only. Exhibitors can collect their registration badges from the registration desk from 14.00 on Monday 15th September and will be granted access until 19.00. If you would like to come earlier, you will need to obtain a work pass and wear a high vis jacket. Please note, you must register all exhibitors for the exhibition online www.boa.ac.uk/registration
Under CDM regulations, all visitors to the hall (during build-up and breakdown) at this time must wear high visibility jackets, appropriate footwear, and hard hats where necessary.
When can I access the hall for break down?
The exhibition closes at 16.45 on Thursday 18th September, the hall can be accessed for breakdown of stands from 16.45 - 21.00.

Shell Scheme = 2.4m
Space Only = 4m
